Work Orders
John works in a manufacturing company that uses paper work orders issued to the shop floor to setup and follow each job. The operators record information on the paper work order as the job progresses. At the end of the job the work orders are turned in to John. He sorts through the work orders and has them filed in standard filing cabinets. The files have to be managed to handle the ever changing volume of work orders, archiving of old documents, etc. People often need to look up something that was recorded on the work order, so the files have to be manually searched to retrieve the original paper document. Work orders retrieved from the filing system are sometimes not returned or are misfiled.

John found the Amplios Document Filer and learned how easy it is to add a bar code to each printed work order. John setup a test by adding the bar code to newly created work orders. He requested a free two week temporary license for the program and started his evaluation. When the work orders came in at the end of a job he loaded them into a copy machine with scanning capability. The copier scanned the work orders, gave them a sequential number, and saved them to a folder on the companies computer network. When new work orders are detected in this folder, the program processes them by reading the work order number from the bar code, renaming the document using the work order number, and filing the renamed work order in a separate folder on the computer network.

The work orders are now readily accessible to all employees with network access. Since they are all filed by the work order number, retrieval is quick and easy. Work orders can be viewed at work stations and printed if necessary. With evidence of improved productivity and lots of positive feedback, John decided to purchase a permanent license for the Amplios Document Filer for his company. Lab Reports

Each file processed was named by the project information in the bar code. The document was compressed and encrypted with a password.

This has worked so well that management has now decided that the compressed and encrypted reports can be located on a network server with read only access for most users. People will need both network access and a password to the reports for viewing. Bills of Lading
Carmen is the logistics manager for a trucking company. Everyday she has hundreds of bills of lading that need to be processed, filed and managed. The volume of business is increasing and she needs to find a way to deal more efficiently with the paperwork so she can have her employees focus on other more important tasks. Carmen had training in bar coding in her school work and had experience using bar codes in her previous job. She proposed and led a project to add bar code information to the bills of lading. It was such a long process to get her IT department to add the bar code to the documents.
