Folder Set Compression and Encryption
(Web Home)
The default for the Amplios Document Filer is to simply rename each file that it successfully processes using the data that is in a bar code in the document. The document itself is not changed in any way, it is simply renamed and filed. You may want to conserve storage space by compressing the file into a ZIP archive. You may also want to password protect an encrypted version of the file for increased security. Each folder set can have its own specification for compression and password protection. For example, you may choose not to compress sales receipts, but you may choose to compress sales reports, or you may choose to compress and encrypt employee performance reviews. These options are only available with the registered version of the program.
Compress in ZIP file
If there is a check mark before this phrase, the file will be compressed into a ZIP archive. The file will be renamed and the three character file extension will be ZIP. For example, processing a file named "March 14 Receipts.doc" with bar code data of "201314056", for sales receipt number 56 on March 13, 2013, could create a file named 201314056.zip in the filed documents folder. You will then need to use the unzipping capability of Windows or another program to view the contents of this file. The compression will only be used for newly filed documents. Documents previously filed by the program will not be compressed. To compress these older documents you could copy the original documents back to the Ready to File folder for reprocessing.
Password Protect
If there is a check mark before this phrase, the contents of the compressed file will be encrypted and protected with a password that you provide. To create or modify any password, you will need to create and enter your Master Password for the Amplios Document Filer. The password is entered in the space provided after "Password Protect". The password you enter should be a minimum of 10 characters. Once the file is password protected, you will not be able to view the contents of the file without first entering this password. After the password is entered and stored by the program, you will not be able to view the password again without first entering your Master Password. This means that it is of utmost importance that you not lose or forget your Master Password. If you do happen to lose or forget this password, contact us for help. Any password you enter will only be used for newly filed documents. Documents previously filed by the program will not be password protected. To protect these older documents you could copy the original documents back to the Ready to File folder for reprocessing. NOTE: The current version of the Amplios Document Filer uses 32 bit encryption. If you would like to secure your documents with higher levels of encryption, please contact us.
Generate Button
If you would like the program to create a password for you, simply click on this button and a password will be generated. You do not need to write this password down because you will always be able to view it on this screen as long as you have not lost or forgotten your Master Password.
Modify Button
If you have previously entered a password and you would like to change it, you can click on this button. If you change the password, the modified password will only be used with newly filed documents. Documents previously filed by the program will use the old password. To have the new password apply to both the old and new documents, you could copy the original documents, not the compressed or password protected documents, to the Ready to File folder for reprocessing.
